1. Introduction
Done By Nine (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website donebynine.com (the “Site”).
2. Information We Collect
We collect the following types of information:
- Personal information such as names and email addresses
- Cookie data
- Analytics data through Google Analytics 4 (GA4)
- The answers you give our price and fit check, including anything you type into its three free-text questions
- The address your request comes from (your IP address), and the ordinary logs our website host keeps
- How you reached our website: the page you arrived on, any campaign tags carried in the link you clicked, the website or search engine that sent you, and the advertising click identifiers that Google and Meta add to their own ad links
We collect this information through:
- Contact forms on our website
- Lead forms across our website, Facebook, and LinkedIn
- Cookies and tracking technologies
- Our price and fit check, the nine questions at donebynine.com/start/
What the price and fit check collects
The check asks nine questions and takes about three minutes. Most are choices from a list: what you want fixed, the size of your team, the range you could invest in a marketing service each month, what you spend on advertising today, when you need to see results, what support you want from us, and whether an AI assistant already recommends businesses like yours. Three are free text, so they hold whatever you choose to write: your business name and what it sells, what would make the next 12 months a win, and what has stopped that happening so far. The business name is invited rather than required, and the check works the same if you leave it out.
We also record the price band and the fit result our system worked out from your answers. The nine questions do not ask for your email address. If your answers make you a fit, the result offers you a booking calendar, and anything you enter into that goes to the calendar provider named in section 4.
We keep your answers whether or not we turn out to be a fit. That is deliberate. Knowing who the check turns away is how we learn who this page is reaching, and it is worth as much to us as the answers of the people we say yes to. If you would rather we did not keep yours, section 6 tells you how to have them deleted.
3. How We Use Your Information
We use the collected information to:
- Send tailored communications as requested by users
- Monitor website traffic through GA4
- Manage our marketing campaigns through HubSpot
- Answer you when you get in touch
- Work out an indicative price and whether we are the right fit for you, which is what our price and fit check does
- Understand who our website reaches, including the people we are not right for, so that we can improve what we publish and who we talk to
- Work out which of our advertising, campaigns and content actually brought people to us, so that we put our marketing budget behind the ones that do
- Keep the site working and stop it being abused, which is why we count requests against the address they come from
An AI writes part of your price and fit check result
The written read on your result is generated by an AI model from your nine answers, in seconds. Your answers are sent to Anthropic, which operates the model, for that purpose and no other.
The two things you came for are not written by the AI. Your price band is looked up from our published price list by our own code, and whether we are a fit is decided by rules we wrote. The model is not allowed to change either of them, and it is not allowed to produce a price at all.
The fit result also decides whether you are offered a booking calendar. It is the output of those rules, not a judgement about you. If you think it has read you wrong, email hello@donebynine.com and a person will read what you send.
4. Disclosure of Your Information
We do not share user information with third parties, except for:
- HubSpot for the purposes of marketing
- Anthropic (United States), which receives your nine answers and generates the written part of your price and fit check result
- Resend (United States), which delivers our email, including the notification that tells us you have completed the nine questions
- Upstash (United States), which stores enquiries and price and fit check submissions so that nothing is lost if an email goes astray
- Vercel (United States), which hosts this website, and whose server logs record each submission as it arrives
- Google, which provides Google Analytics 4, the email accounts we read your messages in, and the appointment calendars embedded on our booking pages and offered at the end of the price and fit check
- Sanity, which stores the words and pictures that make up this website and holds no information about you
We give each supplier above only what it needs to do the job we use it for. We do not sell your information, and we do not share it for anyone else’s marketing.
We will also disclose information if the law requires it.
Where your information is held
Done By Nine is a New Zealand business, and most of the suppliers above are based in the United States. Your information is therefore stored and processed outside New Zealand.
5. Cookies and Tracking Technologies
We use cookies and Google Analytics 4 (GA4) to track user behavior on our website. This helps us monitor website traffic and improve our services.
How we know which advertising brought you here
When you arrive at our website we make a note of how you got here: the address of the page you landed on, any campaign tags in the link you followed, and the website or search engine you came from. If you clicked one of our advertisements, the link carries an identifier that Google or Meta added to it, and we note that too.
We keep that note in your own browser, in its storage rather than in a cookie, for up to 90 days. Nothing is sent to us until you fill in a form. When you do, the note travels with what you send, so that we can see which of our marketing led to it.
We keep the first way you found us and the most recent one, because they are often different. An advertisement may introduce us and a search for our name may bring you back weeks later, and we would rather know both than guess.
We do not use this to build a profile of you, we do not follow you around other websites, and we do not send it back to Google or Meta.
Clearing your browsing data for this site removes the note from your browser. Section 6 tells you how to have the copy we hold deleted as well.
6. Your Choices
Users can opt-out of our email communications at any time by clicking the unsubscribe link visible at the bottom of our emails.
You can also ask us what personal information we hold about you, ask for a copy of it, ask us to correct it if it is wrong, and ask us to delete it. Those rights come from the Privacy Act 2020.
To see what we hold, or to have it deleted, email hello@donebynine.com. Tell us which you want. If you are asking about a price and fit check submission, we will delete your nine answers, the result we worked out from them, the note of how you reached our website, every copy we hold, and your email address if we have one.
If you gave us an email address, tell us what it was and we can find your submission straight away. If you did not, tell us roughly when you answered the questions and what you wrote, and we will find it.
7. Security of Your Information
We use administrative, technical, and physical security measures to help protect your personal information.
If information we hold about you is lost or exposed and we think it could cause you serious harm, we will tell you, and we will report it to the Office of the Privacy Commissioner.
8. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page.

10. How Long We Keep Your Information
We keep information for as long as we need it for the purposes described in section 3, and no longer.
We have not set a fixed maximum period for price and fit check answers yet. When we do, we will publish it here.
Whatever that period turns out to be, you can ask us to delete your information at any time and we will. Section 6 says how.
